Representative Raul Ruiz, M.D. is a Senior Member of the Energy and Commerce Committee and former Chair of the Congressional Hispanic Caucus. Interested and qualified candidates for the position of Executive Assistant and Scheduler in his Washington, D.C. office. Salary is commensurate with experience; the office offers competitive and comprehensive benefits.
Responsibilities:
The Executive Assistant and Scheduler will manage the Congressman’s schedule from DC to California and support the smooth daily operations of the office, reporting directly to the Chief of Staff. This role works closely with the Chief of Staff, District Director, Legislative Director, and Communications Director to ensure all scheduling needs are met and the Member stays on schedule throughout the day. Additionally, the Executive Assistant serves as the direct administrative assistant for the Congressman managing the Member’s schedule, logics, personal Office, workflow, and information needs. • Coordinate, maintain, and execute the Congressman’s daily schedule, ensuring proper time allocation for preparation, travel, and transitions between meetings and events. • Serve as the primary entry point for constituents and stakeholders seeking to engage the office. • Perform intake and internal processing of all D.C. and district scheduling requests in a timely manner; ensure district requests are coordinated with the district team. • Track and manage RSVPs, invitations, and event logistics; ensure the Member is appropriately staffed for all meetings and events. • Anticipate and troubleshoot scheduling conflicts in real time, adjusting priorities as needed in a fast-moving environment. • Manage last-minute changes, cancellations, and urgent requests with professionalism and discretion. • Ensure briefing materials are prepared and provided for each event and meeting, and that staff receive appropriate advance notice. • Arrange all official travel for the Congressman and ensure travel logistics are properly coordinated. • Draft and manage follow-up correspondence, including thank-you letters and scheduling confirmations. • Manage Member reimbursements, office purchase card, and asset management. • Implement and maintain scheduling protocols and best practices to improve office efficiency. • Ensure compliance with all office policies, procedures, and practices. • Supervise Staff Assistant, including providing feedback and conducting performance reviews. • Perform additional duties as assigned by the Congressman and Chief of Staff
