Job Title: Administrative Coordinator Location: Washington, DC Position Type: Full-Time Department: Administrative Reports To: Director of Operations and Administration About the Role: We are seeking a detail-oriented, proactive Administrative Coordinator to provide high-level administrative, logistical, and operational support to ensure smooth day-to-day operations. This role is ideal for someone who enjoys organizing, problem-solving, and creating efficient workflows. The role requires exceptional judgment, strong organizational capabilities, and the ability to manage multiple priorities with discretion, professionalism, and confidentiality. This position serves as an assistant to the Chief of Staff, the Administrative Director, and the Scheduler. Responsibilities include scheduling, booking travel arrangements, and special projects for the Chief of Staff; managing daily logistics and meeting materials for the Senator in coordination with the Scheduler; and maintaining office records, contacts, reimbursements, and hosting events with the Administrative Director.
Responsibilities:
Key Responsibilities: Provide administrative support, including scheduling, calendar management, meeting coordination, and travel arrangements for leadership and staff, ensuring accuracy and proactive conflict management. Maintain organized filing systems (digital and physical) and ensure accurate record-keeping in compliance with departmental procedures and relevant regulations. Process invoices, build and review reimbursements. Coordinate events and team activities, including logistics, communications, and materials preparation. Assist with onboarding processes for new hires, including preparing materials and coordinating logistics. Support special projects and departmental initiatives as assigned. Order office supplies and manage inventory. Perform additional administrative duties as assigned to support operational efficiency.
Qualifications:
Qualifications: High school diploma required; associate or bachelor’s degree preferred. Previous administrative or office support experience. Advanced organizational and time‑management skills, with the ability to prioritize competing demands. Strong written and verbal communication skills, including professional correspondence and document preparation. High level of discretion, confidentiality, and sound judgment in handling sensitive information. Ability to anticipate needs, solve problems proactively, and take initiative. Exceptional attention to detail. Adaptability and resilience in managing changing priorities and evolving operational requirements. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
